Step-by-Step Guide to Complete GL Mapping in LoopAI

This article provides step-by-step guidance on how to map your GL codes to ensure accurate reconciliation. 

Getting Started

Before proceeding with GL mapping, its essential to ensure you have connected your Bookkeeping software with LoopAI. If not you can first complete the setup here before initiating the GL mapping. 

Steps to complete GL mapping in LoopAI:

  1. Login to LoopAI: Login to your Loop account using your username and password
  2. Navigate to Bookkeeping: Navigate to bookkeeping within the platform from the left panel and under bookkeeping select "GL mapping" to initiate the process and below screen will open up
  3. Choose Accounting Software: Select the accounting software for which you want to complete the mapping. This mapping will apply to all locations mapped to this accounting software.
  4. Expand Third-Party View: Click on the name of the third-party software to expand the view. All available charts of accounts for reconciliation will be displayed.
  5. Map Account Names: For each transaction type, click on the drop-down menu and choose the corresponding account name as per your bookkeeping software. You can learn more about this memo item here. 
    Note: Ensure to select either "marketing" or "marketing ad_spend" and "marketing promos" independently, not both.
  6. Save Mapping: Once the mapping for all the third parties is completed click on "Save Mapping" to confirm your selections. 
  7. Allow Cooling Period: After completing the mapping, it is essential to note that it typically takes a 15-20-minute cooling period for the data to be successfully pulled and reflected on the platform, therefore, please allow sufficient cooling time for the entries to populate on the platform. 
  8. Review JE Entries: You can review the Journal Entry (JE) on the GL Entries page to ensure accurate mapping and data validation.
